What challenge did the company face?

The Spanish Society of Cardiology (SEC) aims to promote education, prevention and research into cardiovascular health in society, as well as the promotion and dissemination of heart-healthy lifestyle habits among the Spanish population.
Attendance statistics
The attendance statistics collected in previous editions, which were in person, were not enough to predict the size of a fully telematic global event.
Virtual event
The organizers realized that the only way to hold the congress was to transform it into a virtual event, which entailed certain technical problems.
Video streaming
In addition, the client wanted to continue using a third-party video streaming solution that they had previously used.
The client platform requirements were as follows:
Estimated maximum of 10.000 simultaneous users
Peak demand from October 28th to 31st
Streaming with Streamshark
Publishing content on Vimeo for on-demand viewing
Running the enrollment check script every 30 minutes for each logged in user (client development)
Joomla as a CMS
Plesk as CMS/Server Manager

Solution implemented

apser joined the project at a time of great uncertainty: we carried out a meticulous study of the client's needs using our ACALIC methodology that allowed us to detect and address all underlying risks.

apser designed a secure, highly flexible and reliable platform to deliver an optimal experience to the many conference attendees around the world, while also integrating custom scripts to verify attendance at third-party talks and video broadcasts.

FrontEnd Web Server: c5.12xlarge instance with Plesk AMI as management layer. Joomla as CMS for the event website
RDS MySQL backend on a m5.2xlarge instance with performance audit
Amazon CloudFront for static caching via a third-party plugin within Joomla
Monitoring with Amazon Cloudwatch to verify platform performance
Amazon Route53
Account governance based on AWS CloudTrail, AWS Config, and AWS Organizations with SCPs
Amazon GuardDuty for IDS

Once the platform was deployed, stress tests were performed and applications were optimized until their correct operation could be verified for 7000 simultaneous users.

Results

As attendees closed their sessions on the platform, their evaluations of the event were received and, in general, they were very enthusiastic. eCardio 2020 congress was a resounding success, to the delight of all the organizers.

Finally, the client decided to keep a reduced version of the platform active in order to provide access to the recorded sessions and materials.

To consider!

It is always necessary to start with a good platform architecture to offer good performance and not to neglect stress and usability tests, since they allow the size of the platform to be optimized.

The resources deployed during the week of the congress had a very low cost since they were only operational for ten days. Flexibility that AWS provides to activate resources as needed was essential to the success of the project.

During the event, the metrics obtained with Amazon Cloud Watch y Performance Insights about RDS They were very helpful in resolving some minor issues.

To achieve success in these types of projects, a holistic approach is required with platform architects, software experts, operating system knowledge, and stress testing management.
