Outsourcing management guide for companies
Outsourcing processes are incredibly beneficial for the growth and progress of SMEs. Companies and providers find common ground from which both can benefit. First and foremost, it's important to clearly define what outsourcing is.
Basically, when we talk about outsourcing in companies , we are talking about subcontracting, that is, "the delegation of internal functions or activities of a company to an external provider, which has the know-how to execute and carry them out with its own resources."
Today, the need to outsource services to improve efficiency is widely recognized. We're talking about business improvement and growth, so when it comes to outsourcing , we shouldn't skimp on investment. Since this is a significant change—delegating part of your services to someone outside the company—we must consider several factors to minimize the chances of failure.

Prerequisites for outsourcing processes for companies
Many companies that outsource some type of service assume that the service provider must adapt to their own processes, philosophy, and routines. This is a mistake. Sooner or later, the agreement between the two companies will fail.
Let's take an example: a company hires an online marketing agency to manage its social media. This agency will typically have other clients, each with their own routines, processes, and internal philosophies. Demanding complete adaptation from the provider to the company would be impossible. The key takeaway from outsourcing in a company is that both parties should strive for mutual adaptation. These are two initiatives working together to generate added value. Understanding and learning from each other's ways of working will likely be the best path to success.
On the other hand, prior research is highly advisable to understand the market and determine who to hire. It goes without saying that we should focus on reputable, established companies with a proven track record and professionals who have in-depth knowledge of their industry.
Customer perception is very important
Outsourcing is a common practice in the Spanish business world. However, a certain negative, even stigmatized, perception of this model still exists among the public. This is often the case with telephone companies, whose customer service is typically outsourced. Before outsourcing a service, it's advisable to assess how our clients might perceive it.
We must establish a balance between this and other issues such as cost savings, process optimization, or company growth. It's a difficult balance, but as we've said, it's essential to consider all the variables. A good way to counteract any initial negative perception a client might have about outsourcing a service is to inform them of the benefits the process offers them. Cost savings are, in this case, one of the best options.
There must be a strategy behind outsourcing
One of the factors that causes outsourcing to fail is the lack of clear objectives in the relationship between the company and the provider. We cannot outsource a service solely under the pretext of cost savings. Returning to the marketing agency example , we cannot hire such an agency simply to create a Facebook page and a Twitter account for the company and write blog posts. The logical approach is to establish objectives (search engine optimization, online sales, brand building online) and clearly define the resources to be allocated and the expected return.
The point is that no outsourcing process should be undertaken without a well-defined strategy: objectives, resources, timelines, and return on investment. It is essential to clarify all of this before starting. Otherwise, the outsourcing is very likely to fail and the company-supplier relationship will break down.
Under this approach, it is very difficult for outsourcing not to succeed, since the reduction of risks is considerable and the chances of achieving our objectives are much higher.
